Be our Global Audit and Assurance Learning Coordinator
The job is within the Member Firm Relations group of the DTTL Global Audit & Assurance Learning Team ( GAAL ).
Purpose of the role :
Ensure the effective delivery of GAAL regional learning and development events and related activities to internal clients throughout the network of DTTL member firms.
Focusing on organization of regional learning programs and meetings for three regions EMEA, Americas and Asia Pacific.
Leading the successful organization of GAAL regional events and meetings in the EMEA, Americas, and Asia Pacific region.
Extensive liaison with Audit & Assurance learning leaders and managers, learning administrators, facilitators, participants (partners, directors, managers) and external vendors.
Communicating on GAAL activities to the DTTL network. Being a reliable point of contact and support for the GAAL team and the wider Audit & Assurance Learning community.
Also includes providing administrative, financial, and project support to core members of the global Audit & Assurance learning team who are located in various DTTL member firms.
Please note this is a temporary role through May of 2019.
Your main duties and responsibilities will be :
Working with Global Conferencing Services / DGSL and venues to draft appropriate contracts and coordinating the internal legal review process for venue contracts
Preparing budgets both to monitor and report on actual expenses e.g. highlighting any anomalies and following up with venue, providing details of invoices and calculating inter-
firm billing for regional learning events
Searching and securing appropriate event venues and facilities via Deloitte preferred conference agents and negotiating the best conditions
Providing participant lists for recharging purposes, either to Global Conferencing Services or to DTTL Finance as appropriate
Preparing and distribution of marketing materials to venues
Liaising with member firms to obtain registrations for attendance
Setting up online registration sites and communicating the registration details to participants, facilitators
Providing on-the-ground management and support to event attendees and facilitators. This requires travelling to venues.
Acting as key contact for event communication with the community of Audit & Assurance learning leaders and Deloitte member firms across the regions
Skills and abilities :
Outstanding interpersonal skills ability to built rapport with internal clients at all levels and of different cultures
Ability to work with tight deadlines and attention to detail
Strong project management skills
Excellent IT skills (Word, Excel, Web, Outlook, databases)
Brilliant written and verbal communication skills in English and be agile to adapt to changing needs (other European language is a plus)
International and domestic travel required, as well as willingness to work overtime as needed
Your education and experience :
Bachelor’s Degree required
4-6 years of specific, subject matter, work experience
Preparation and management of budgets
Experience with online event registration systems
