Job Description Summary

The Change Coordinator is a mid-level job in the IT Change Management job family and ensures continuous availability of IT services by effectively managing and governing requests for medium to complex changes.

They take responsibility for ensuring that all changes introduced in the live production environment happen in a controlled and co-

ordinated manner, ensuring minimal disruption of services. They ensure that standardised methods and procedures are used for efficient handling of all changes.

What you'll be doing

Manage and co-ordinate change requests

  • you will receive and process requests for changes (RFC) on a regular basis and classify and prioritise the request based on importance, impact and complexity.
  • you will assess the risk and technical impact associated with the change and will ask fellow employees to contribute to the assessment of very complex change requests.
  • you will act as an interface between the requester in business and the technical delivery team and you will ensure that change requests are handed over to the relevant technical team members.
  • Apply change control process

  • you will ensure the planning, co-ordination and prioritisation of changes based on relatedness and priority.
  • you will review and create plans for the associated development and execution of the change to ensure compliance to change policies and the mitigation of risk.
  • you will implement an effective and practical change control process in line with business requirements, ensuring communication and adherence to change control process across their team.
  • As an IT Change Coordinator you will have the authority to approve medium to high impact, medium to high risk Requests for Changes that are not required to be approved by Change Approval Boards.

    All changes are included in detailed change schedules and plans. As an IT Change Coordinator you use your schedules to track, manage and report on the fulfilment of change requests, ensuring that the required records are updated once a change has been successfully implemented.

    You will obtain business approval for requests for changes that will require organisational resources such as labour, budget or time from the Change Authorisation Board (CAB).

    Where changes are ready to be implemented, your will obtain authorisation to change the production environment.

    You will attend Dimension Data pre-CAB meetings and report on weekly changes introduced to the environment. You will also document and centrally store existing change processes and contribute to the review and design and documentation of new processes as required.

    Produce and use reports

  • you will convene review boards on a regular basis to review the success of changes implemented and to conduct a post mortem of the process.
  • This provides information for change control process improvement suggestions.

  • you will capture and report on metrics that relate to the reporting of the volume of changes, types of changes and no failures of changes.
  • Manage change control notifications

  • you will ensure that the required user communication and notifications are compiled and distributed to prepare for any changes.
  • you will identify changes required to the Change Control process and collaborate with colleagues on other environments to improve and implement these changes.
  • you will ensure that all relevant stakeholders are informed of and trained on the correct change control processes.
  • Change evaluation

  • you will work closely with a variety on internal colleagues to create an evaluation plan that will analyse the service changes to be evaluated and list the intended effects of the service change.
  • you evaluate predicted and actual performance by conducting a risk assessment and recommending acceptance or rejection of the change to the business.
  • Once changes have been accepted, you as an IT Change Coordinator will ensure the implementation of the service change and analyse the evaluation report received from the business for incorporation into the execution of any remedial change actions required.
  • Manage client relationships

    You display excellent client service orientation, but are able to balance delivery with agreed and contracted expectations.

    Behavioural Skills

    You are required to display a high level of attention to detail and excellent planning ability. You need to communicate effectively and be able to take ownership of problems.

    Required Work Experience :

  • Previous working experience in change management
  • Knowledge of ITIL processes (ITIL certification is a big plus)
  • English - written and spoken (at least B2)
