Job Summary :

Novartis is currently searching for a Travel & Expense Specialist to join the Finance team in Prague.

Job Purpose :

The T&E Operations Team is responsible for the overall operational activities within T&E by executing accounting related matters, processing of expense reports, handling Credit Card and Compliance related matters.

The T&E Jr. Specialist supports the Novartis NGSC T&E Operations Team, enabling the execution of quality services. The position requires a customer centric, diligent, hard-

working individual with preferred experience in Customer Service environment and knowledge of T&E processes and aspiration to drive outstanding customer service and operational efficiency.

The role entails the provision of services within the scope of T&E daily operations delivery, customer support and daily query management acting as the first & second level support to T&E queries.

Key Responsibilities :

  • Provide timely assistance and customer-oriented support for incoming queries and issues related to T&E processes and systems through the role as operational expert
  • Support continuous improvement of services in quality and effectiveness in close collaboration with line manager, peers and other departments across the FRA operations.
  • Isolates problem trends and ensures troubleshooting efforts are completed for recurring problems until permanent solutions are found
  • Excellent in customer service attitude enabling a highly collaborative environment towards internal and external stakeholders
  • Provide timely assistance and customer-oriented support for incoming queries and issues related to T&E processes and systems through the role as operational process expert
  • Partner with and supports requestors, stakeholders and suppliers to solve more complex issues related to the T&E process
  • Ensure successful delivery of service levels according to agreed T&E KPIs
  • Support T&E team in continuous improvement of services in quality and effectiveness in close collaboration with line senior team members and team lead
  • Deliver training sessions to end users and ensure the communication of changes and best practices across the team
  • Manage the maintenance and change of user profiles in T&E tools
  • Process travel requests, advance payment requests and expense reports / claims in line with Novartis Expense Manuals and flags any incompliance in a timely manner to the line manager / team lead
  • Support T&E team in handling Credit Card related matters : applications, inquiries, dunning process on overdue balances on Credit Cards
  • Provide support in compliance relevant aspects if requested : reporting, investigation of specific cases, analysis of expense report

    Minimum requirements

    The ideal candidate will have :

  • Bachelor’s degree (Preferably in Finance / Accounting or Business Administration)
  • English (written and spoken) and Greek / Hebrew
  • Experience in SAP environment
  • Experience in AP / T&E / Payroll is a plus
  • Ability to collaborate effectively and work as part of a team
  • Strong attention to detail
  • Microsoft Office suite (Word, Excel, PowerPoint, Access, Outlook)
  • Demonstrated ability to work effectively in a multi-national, matrix organization
  • Proactive, detail oriented, professional attitude, reliable
  • Exposure to international and multicultural environment
  • Customer service orientation, professional attitude, reliable
