Team Assistant

Expedia’s Market Management team is seeking an experienced, multi-faceted Team Assistant to support our Senior Directors of Market Management, based in various locations across the EMEA region.

We are looking for someone with a dedicated attitude, who is customer focused, and able to handle multiple tasks with demanding work load.

We love people who use their initiative and work within a team to achieve results.

This position will provide administrative support to two of our Senior Directors, as well as backup support to executive staff if necessary.

Overview of the role

  • You will provide support to members of the executive team by managing complex, detailed executive calendars and scheduling logistics.
  • Arrange and schedule domestic and international travel itineraries and related details
  • Create and process expense reports
  • Handle planning, budget, logistics and coordination of group or team meetings
  • Work in tandem with other executive assistant on all related matters
  • Research and create presentations and / or documents of varying complexity
  • Create correspondence including complex and sensitive emails, letters, memos and reports
  • Generally pitch-in and help out wherever there is need
  • Arrange simple and complex on and offsite group events and meetings, including planning, budgeting, and logistics; and may take minutes in meetings.
  • Qualifications

  • You will have advanced skills in MS Office (Word, Excel, PowerPoint, Outlook), strong editing / proofreading skills, along with exceptional verbal, written and interpersonal skills.
  • You have direct experience in supporting multiple senior level executives in a dynamic, results oriented environment.
  • Due to the level of confidentiality in this role, we require you to have the highest level of ethics, good judgment and common sense.
  • You thrive in challenging situations but at the same time can maintain a positive, pro-active attitude.
  • A strong customer focus, proactive attitude and the ability to prioritise a demanding work load while maintaining a sense of humour will also be important qualities to ensure success in this position.
  • Excellent organizational and interpersonal skills are required, along with tact, poise and excellent people skills.
  • Demonstrated abilities in initiative, judgement, discretion, managing multiple tasks, and attention to detail are essential.
  • Ability to work independently, problem-solving skills and resourcefulness are all mandatory. College degree in business preferred, or applicable work experience.
